What we collect

Public records. Company profiles start from FMCSA census and authority records — public federal data about motor carriers, brokers, and shippers. A profile exists whether or not the company has claimed it, and its public facts (name, address, USDOT, authority status) are not private information.

Account data. When you claim a company and sign in, we store the email address used for sign-in codes, the company's contact details, and the records of your activity on the board.

Documents you upload. Insurance certificates, W-9s, signed agreements, bills of lading, proofs of delivery, and photos (such as scale tickets). Packet documents are shared only with the companies you choose to share them with.

Load activity. Loads, bids, bookings, rate confirmations, accessorial charges, check-ins, and reviews.

Driver location. When a driver posts a check-in on a booked load, the GPS coordinates of that check-in are recorded with the event. There is no continuous or background tracking — a location exists only where a check-in was posted. Check-in locations are visible only to the parties on that load: the carrier, the broker, and the driver.

Usage data. Privacy-respecting analytics about page views and feature use. We do not run advertising trackers and do not build cross-site profiles.

How we use it

To operate the board; to verify identity and operating authority; to prevent fraud, claim hijacking, and double brokering; to measure and publish brokers' payment history (payment speed is shown in aggregate on broker profiles); to provide support; and to comply with the law.

What we share

Counterparties on a load see what running that load requires: company details, the assigned driver's name and phone, check-ins, and load documents. A factoring company can verify a rate confirmation only when it is given that load's verification code. We use hosting, database, and email providers under contract to run the service. We may disclose information when legally required. We never sell personal data.

Retention

Booking and transaction records are kept for three years. Account data is kept while the account is active. Uploaded documents are kept while they are in an active packet and as required for the records above.

Your choices

Email [email protected] to access or correct your company's information, or to ask for deletion — deletion is subject to the record-retention duties above. Every marketing email carries a one-click unsubscribe. Sign-in and load-notification emails are transactional and are how the service works.

Security & changes

Sign-in is by single-use code — there are no passwords to leak. Documents are stored in access-controlled storage and served through short-lived signed links. If this policy changes materially, we will note it here and update the effective date. HaulVouch is a business service and is not directed at anyone under 18.
